Privacy Policy

1. Introduction and Scope
Menuboard ("we", "our", "us") manages personal information in line with the Privacy Act 1988 (Cth), including the Australian Privacy Principles (APPs). This policy explains how we collect, hold, use, disclose and protect personal information for:
- venue users (owners, managers and staff using the portal and venue app), and
- consumer users (people using the consumer mobile app).
2. The Information We Collect
2.1 Information from venue users
- Account and contact details, including username email and admin/correspondence email.
- Venue details, including venue name, address, trading details and profile content.
- Specials content you create, including photos, descriptions, pricing and availability windows.
- Operational and analytics data, including views, claims, redemptions and usage metrics.
- Billing and subscription records, including plan details, invoices and transaction history.
2.2 Information from consumer users
- Account details, such as email and profile information.
- Location information (when enabled), to show nearby venues and specials.
- Activity data, such as favourites, views, claims, redemptions and in-app interactions.
- Feedback submitted after redemption (feedback is shown to venues privately and anonymously).
- Device and app metadata, such as device type, operating system, app version and push token.
2.3 Payment information
We use Stripe for payment processing. We do not store full card numbers or CVV. We may receive billing metadata (for example, payment status, plan, invoice identifiers and limited card descriptors).
2.4 Sensitive information
We do not intentionally collect sensitive information unless reasonably necessary and permitted by law, or with your consent where required.
3. How We Collect Information (APP 3 and APP 5)
We collect personal information directly from you when you register, use our products, contact support, subscribe, or submit content. We also collect certain technical and usage information automatically while you use our services.
We take reasonable steps to collect information by lawful and fair means and only where reasonably necessary for our functions and activities.
4. Why We Use Information (APP 6)
We use personal information to:
- provide and operate the Menuboard platform for venues and consumers,
- authenticate users and secure accounts,
- publish and manage specials and redemption flows,
- process subscriptions, billing and account administration,
- send service messages, support responses and operational notifications,
- measure performance, improve our services and troubleshoot issues,
- detect fraud, abuse and policy breaches, and
- meet legal and regulatory obligations.
5. Direct Marketing (APP 7)
We may send product updates, offers or launch communications where permitted by law. You can opt out at any time using the unsubscribe option in the message or by contacting us.
6. Disclosure to Third Parties (APP 6 and APP 8)
We may disclose personal information to trusted service providers that help us run Menuboard, including:
- cloud hosting and data infrastructure providers,
- payment processors and billing partners,
- push notification and messaging providers,
- analytics, monitoring and customer support tools, and
- professional advisers, auditors and legal providers.
Some providers may store or process information outside Australia. Where information is disclosed overseas, we take reasonable steps to ensure recipients handle it in a way that is consistent with the APPs, unless an APP exception applies.
We may also disclose information where required or authorised by law.
7. Data Quality and Security (APP 10 and APP 11)
We take reasonable steps to keep personal information accurate, up to date and secure. Controls include access restrictions, authentication controls, encryption in transit, environment segregation, audit logging and security monitoring.
We keep personal information only as long as reasonably required for business, legal and operational purposes. We then de-identify or destroy information where appropriate.
8. Data Breach Response
We maintain a data breach response process. If an eligible data breach occurs under the Notifiable Data Breaches scheme, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required.
9. Access and Correction (APP 12 and APP 13)
You may request access to personal information we hold about you, and ask us to correct information if it is inaccurate, out of date, incomplete, irrelevant or misleading.

10. Anonymity and Pseudonymity (APP 2)
Where lawful and practicable, you may interact with us anonymously or using a pseudonym. In many cases, however, we need identifying details to provide core services (for example, account, billing, support, claims and redemption functions).
11. Complaints
If you have a privacy complaint, contact us first at support@menuboard.co. We will acknowledge and respond within a reasonable time.
If you are not satisfied with our response, you may complain to the OAIC at oaic.gov.au/privacy/privacy-complaints.
12. Changes to this Policy
We may update this policy from time to time. We will post the updated version on this page and update the "Last updated" date.
